1. Who we are and scope

TRC Logistics LLC ("TRC Logistics," "we," "us" or "our"), 3430 E Russell Rd, Unit 301-87, Las Vegas, NV 89120, operates the brands Synchron Permits and Synchron Safety. This policy applies to this website and to information we collect through our brands' websites, customer portals, forms, emails, text messages and phone calls, unless a brand posts a separate notice for a specific service.

Our services are offered to businesses in the U.S. trucking industry. Much of the information we handle is business contact information and records our customers provide so we can perform services for them.

2. Information we collect

Information you give us

• Contact details: name, company, job title, phone and mobile number, email and mailing address.
• Business details: USDOT and MC numbers, company registrations, fleet, equipment and load information, and service preferences.
• Service records you provide for us to manage: for example permit details, routes, driver qualification documents, licenses, medical certificates, inspection and maintenance records, claims and insurance documents.
• Billing information: payments are processed by third-party payment processors such as Stripe. We do not store full card numbers on our systems.
• Communications: emails, text messages, call recordings (where you are notified) and notes from conversations with our team.
• Consent records: when and how you agreed to receive text messages or calls, and any opt-out requests.

Information collected automatically

• Basic technical data such as IP address, browser type, device information and pages visited, collected by our hosting providers and, on brand websites and portals, by analytics and security tools.

Information from others

• Records our customers share about their own drivers, employees or contractors so we can perform services, and records we obtain from government systems or authorized third parties at a customer's direction, such as permit offices or driver record providers.

3. How we use information

• To provide, fulfill and support the services you request, such as applying for permits or managing safety and compliance tasks.
• To send service, account, billing, subscription and security communications, including by text and phone where you have consented.
• To respond to questions and provide customer support.
• To process payments and manage subscriptions.
• To improve our services, websites and customer portals, and to keep them secure.
• To meet legal, regulatory and record-keeping obligations and to protect our rights.
• To send marketing communications only where permitted, and by text or automated call only with your separate express written consent.

4. Text messages and mobile numbers

This section applies to all text messaging programs operated by TRC Logistics and its brands. Full program terms, including STOP and HELP instructions, are in our Communication Terms.

• We collect your mobile number and consent only to send the messages you agreed to receive.
• No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
• Text messaging originator opt-in data and consent will not be shared with any third parties, except service providers, such as our SMS and telephony platforms, that process it only to deliver our messages and calls.
• We do not sell, rent or trade mobile numbers or consent records.
• You can opt out at any time by replying STOP, or by contacting us as described in our Communication Terms.

5. How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only as needed to run our business and provide services:

• Service providers that work for us, such as payment processors, messaging and telephony providers, hosting, email and software platforms, under obligations to protect the information and use it only for our services.
• Government agencies and permit offices when needed to apply for permits, filings or registrations on your behalf.
• Parties you direct us to work with, such as your insurance agent or carrier, auditors, attorneys or pilot car providers.
• Within TRC Logistics and between our brands to provide and support services you use, subject to the restriction on mobile information described in section 4.
• Legal and safety reasons, such as complying with law, legal process or lawful government requests, and protecting the rights, property and safety of our customers, the public or TRC Logistics.
• Business transfers, as part of a merger, sale or reorganization, subject to this policy.

6. Website data and cookies

This corporate website does not use advertising cookies or analytics trackers. It loads fonts from Google Fonts, which receives your IP address to deliver them. Our brand websites and customer portals may use cookies needed for login, security and analytics; you can control cookies in your browser settings.

7. Retention

We keep information for as long as needed to provide services, maintain business and compliance records, resolve disputes and meet legal requirements. Consent and opt-out records are kept for as long as needed to show compliance with messaging and calling laws. When information is no longer needed, we delete or de-identify it.

8. Security

We use reasonable administrative, technical and physical safeguards, including access controls and encrypted connections, to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please contact us right away if you believe your account or information has been compromised.

9. Your choices and rights

• Text messages and calls: reply STOP or contact us to opt out at any time.
• Email: use the unsubscribe link in any marketing email.
• Access, correction and deletion: you may ask to see, correct or delete personal information we hold about you. Depending on your state of residence, you may have additional privacy rights; we will respond as required by applicable law.
• Where we process information on behalf of a business customer, such as driver records for a carrier, we may refer your request to that customer.

10. Children

Our services are for businesses and are not directed to children under 18. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this policy from time to time. We will post the updated version here with a new "Last updated" date and, for material changes, give notice by email, text or a notice on our websites.
